Learn how to provide your accounting data to Greenly — by connecting your accounting software, uploading a list of expenses, or importing a FEC file (France only) — to measure your company’s emissions.

Overview

To measure your company’s greenhouse gas emissions and complete a comprehensive assessment, information about the goods and services purchased by your company is needed. This information is retrieved by analyzing the accounting data you provide to Greenly.
This article describes the different ways to provide your accounting data, depending on your situation. The quality of the analyses and the time spent on them (by your company and Greenly) will strongly depend on the quality of the data provided — please follow the instructions in this article carefully.
To import your accounting data, go to the Data menu > Data collection > “Expenses” module. You will then have 3 options to share your accounting file:

  1. Direct connection to your accounting software — Greenly extracts your journal entries directly

  2. Upload a list of expenses — transform your general ledger or accounting file using our template

  3. Import a FEC file (France only) — import the standard Fichier des écritures comptables*Note: We recommend sharing this article with your accounting/finance department so they can help you gather the data.*We take the protection of your data very seriously. All information is processed securely.

1. Direct connection to your accounting software

Greenly can connect directly to certain accounting software, allowing it to extract all of your company’s accounting entries for the period of your emissions assessment.
This option makes the data import process easier for both your company and Greenly.
We have partnered with Codat, a trusted third-party service, to connect seamlessly to your accounting software, ensuring a secure and efficient integration process. For more information, you can visit their help center and see how they secure your data.
Here is the list of software compatible with Greenly:

    You can check the connection status and disconnect the software at any time on Greenly’s platform.

2. Upload a list of expenses

This option allows you to transform your general ledger or another accounting file so that it can be read correctly by our algorithm.
Depending on the methodology you are following, you will find the template to use and the import instructions below:

To import a list of expenses, select “List of expenses”.Step 1: Upload the file Download the template, either from Excel or Google Sheets, then upload your completed template. Select the currency from the dropdown menu. The system will then analyze the file.Step 2: Map columns If you have not used the same column names as in the template, you will need to re-map them. Check your file to see which names you used and select the corresponding column from the template.Step 3: Review and import
Depending on the missing information in your file, you will need to complete quality checks. Your file will then be imported.

3. Import a FEC file (France only)

The FEC (not to be confused with the General Ledger) is a standard accounting file for most French organizations, containing all of your company’s accounting entries for a given period: your accountant should be able to provide it to you. This is the preferred solution for French companies.

To import the Fichier des écritures comptables (FEC), select “FEC file”.Step 1: Upload the file Download the template, either from Excel or Google Sheets, then upload your completed template. 4. Manage multiple currencies

No worries! For each currency used in your accounting entries, you can import the dedicated accounting file and indicate the currency to use in Greenly in the “Additional file information” section. Our algorithm will add up the expenses and group them together for categorization.Make sure not to use a file containing multiple different currencies.
IMPORTANT: Greenly uses the exchange rate corresponding to the profile year (up to 2023)
Case 1: If a transaction is in a currency other than EUR (e.g., USD) and there is no corresponding Market Emission Factor (MEF) for this currency (such as Exiobase), the French MEF for the purchase category is converted into the transaction currency. The exchange rate used corresponds to the profile year (e.g., 2023, USD -> EUR).Case 2: In the categorization module, there may be transactions expressed in different currencies. The “total amount” displayed at the top right is calculated using the exchange rates corresponding to the profile year.
