Which data should be included in your data collection file?
General information
The aim of this module is to calculate the impact of your company's employees' activity during the studied year. The temporal scope of the study is the financial year of your GHG report.
⚠️ To be processed by Greenly, the data provided must be in French 🇫🇷 or English 🇬🇧
🎯 The data collection file contains two type of data: mandatory and optional data-Mandatory data: It is the minimum necessary data to calculate the amount of CO₂e related to this regulatory entry's activities →Without it, no emissions can be computed.-Optional data: any additional data will increase the quality and granularity of the analysis and provide you various areas of analysis.
Advanced module (manual employee survey)
You can find the data collection template by clicking on the module > "Import data" > "Bulk import – via Greenly template"
List of mandatory data (for each employee):
Means of transport used to get to work (only one can be selected)
Start date
Average days worked per week
Average days worked remotely per week
Distance (one way, in km)
List of optional data:Holiday per year
Meals breakdown by type (for BEGES only): red meat, white meat, fish, vegetarian, vegan
Number of holidays taken
End-to-end module
Data is collected directly through the dedicated Employee Survey app(separate from the SaaS at employee.greenly.earth). There is no data collection file to fill in — each employee answers the questionnaire themselves.List of mandatory data (collected per employee via the app):
Country of work
Company join date
Full-time or part-time status (and part-time percentage if applicable)
Days worked per week (base)
Days worked remotely per week
Paid vacation days per year
Primary commute mode and distance or time
Home heating: heated surface (m²), set temperature (°C), energy type (electricity, gas, wood, fuel oil, heat pump, urban heating…)
Air conditioning: cooled surface (m²), cooling temperature
Meals: number of meals per week by type (red meat, white meat, fish, vegetarian, vegan) — included for BEGES, excluded for GHG Protocol
Frequent errors in data format
General information
Advanced module
Column E: Days worked
Client often mistake this column for days at the office, whereas it's actually total days worked per week
Column D: Distance between home and work
Sometimes they understand it as distance traveled (outbound + inbound), while it's supposed to be the one-way physical distance (we calculate ×2 ourselves)
Column C: Working start date
Wrong format → a date is expected (DD/MM/YYYY or MM/DD/YYYY)
Meal breakdown (BEGES only): clients sometimes enter a total number of meals instead of the breakdown per type, or forget this section entirely End-to-end module Errors happen at the employee app level, not in a file. Common issues:
Country not set: if the
forcedCountryCodeis set on the questionnaire settings, employees won't be asked for their country — make sure the default country is correctCommute days vs. remote days confusion: employees sometimes declare more remote days than total working days
Distance entered as round-trip: employees should enter the one-way distance; the app calculates the return trip automatically
Magic link issues: if the questionnaire settings are missing, the magic link will show
employeeQuestionnaireSettingsId=null→ go to the Query Library to generate themIncorrect data provided: employees sometimes provide values that are not possible (e.g., too high/low temperature, too small surface area)
How to upload your data to the Greenly platform?
For the advanced module: once you have completed your file following the provided template, upload it on Admeenly via the OneSchema import flow in the module. For the end-to-end module: No upload needed. Once employees have answered the survey, their data is automatically processed by the platform. You can trigger a recalculation at any time from Admeenly → General → Employee Survey → "Recalculate employee survey impact".
