By consolidating data from all services (HR, Operations, Procurement, etc.), you ensure transparency and audit-readiness.

The template is organized to mirror the EcoVadis assessment pillars. Below are the core components you should manage within the tracking tool:

EcoVadis doesn't just want to see your goals; they want to see the results of your actions. To ensure your "Reporting" section scores maximum points:

  • Relevance: Do not track everything. Filter the template to keep only the KPIs relevant to your industry and operational reality.

  • Completeness: Data should ideally cover the last 2-3 reporting years to show trends (improvement or decline).

  • Standardized Units: Use consistent units (e.g., metric tons for CO₂, kWh for energy). The auditor will penalize inconsistent or non-standard reporting.

  • Avoid Blank Cells: Never leave a cell empty. Use "0" if the value is zero, or "N/A" if the data is currently unavailable, to show the indicator was not overlooked.

  • Scope Alignment: Ensure the data covers all entities listed in your assessment scope. If data only covers one branch, it must be clearly stated.

  • Brand Customization: Update the document with your company logo and brand colors.

  • Historical Data: Include at least the last completed calendar year. You will get more points if you can have data for at least the three past year

  • Source Notes: For internal use, keep a note of where each data point came from (e.g., "Electricity bill" or "HR Portal").

  • Planned KPIs: If you aren't tracking a specific EcoVadis-relevant KPI yet, keep the row and mark it as "Planned for 202X."

❌ Common Mistakes to Avoid

  • Tracking Irrelevant Data: Including KPIs that don't apply to your business (e.g., "Wastewater from production" if you only have offices) creates noise for the auditor.

  • Changing Units Mid-Year: Reporting energy in MWh one year and kWh the next without a clear conversion will lead to data rejection.

  • Siloed Reporting: Only reporting on HQ while ignoring the environmental or social impact of regional sites.

Recommended Update Frequency per Framework:

EcoVadis: Annual. Reporting must be from the most recent 12-24 month period.Internal Management: Quarterly to allow for course correction if targets are being missed.

FAQs

Should I upload the entire raw Excel file to EcoVadis?

It is usually better to export a "Clean" version (PDF or formatted Excel) that only shows the relevant KPIs and the last 2-3 years of data, rather than a working document with internal notes.

What if we don't have data for a specific EcoVadis KPI?

If it is a key KPI for your industry, start a "Data Collection Plan." Note in your tracker that this KPI will be monitored starting next year. This shows a commitment to transparency.

Can I add my own KPIs that aren't in the template?

Absolutely. The template is a baseline. Adding your own strategic KPIs demonstrates a more mature and tailored ESG management system.
