Overview
Ecopilot is Greenly's AI agent. In the GHG module, it supports you at each step of your carbon assessment:
collecting your data
checking its quality
understanding your results
This article explains what Ecopilot can do for you at each step, where to find it on the platform, and how to get the best results.
Ecopilot handles the time-consuming work, such as reformatting files, searching for supplier data and spotting potential duplicates. It does not replace Greenly's methodology. Emission calculations still rely on Greenly's rule-based engine and emission factor database. You stay in control: you review and confirm every change before it is applied.
Key benefits / use cases
Import your data as it is: upload your own Excel or CSV exports. You don't need to fill in Greenly templates by hand.
Improve your Scope 3 accuracy: Ecopilot searches for supplier-specific emission factors in your suppliers' published data.
Save time on food purchases: emission factors are matched automatically, and your choices are reused the following year.
Resolve double counts faster: Ecopilot investigates potential duplicates between transactions and activities.
Understand your results: ask questions about your emissions in plain language, get charts, and compare your results with previous years.
Where to find Ecopilot
Ecopilot is always one click away. Click the Ask anything button at the top of the left-hand menu, just below the year selector.
The Ecopilot page opens:
On the left, under Conversations, you find all your past conversations with Ecopilot. Use the search bar to find one, or click New to start a new conversation.
On the right is the Ecopilot chat. Type your question in the Ask anything... box at the bottom, or click one of the suggested questions to get started.
Availability
Ecopilot Data Formatter: available in Bulk import on modules where it is enabled. It is not available on the Expenses module. It accepts Excel (XLSX) and CSV files. PDFs and images are not supported yet.
Supplier search: available if Ecopilot search is enabled for your account.
If you don't see an Ecopilot option described in this article, contact your account manager.
1. Collect your data with Ecopilot
Import your raw files with the Ecopilot Data Formatter
You don't need to copy your data into the Greenly template. The Ecopilot Data Formatter converts your own file into the expected format. It detects headers, maps columns, converts units, reformats dates and restructures the data for you.
To use it:
Go to the activity module you want to fill in.
Check that your file contains at least the mandatory data for this module. Ecopilot reformats your data, but it can't add information that is missing from your file.
Click Bulk import and choose the Ecopilot Data Formatter option.
Upload your own source file, not the Greenly template.
Ask Ecopilot to format your file. You can add context to help it, for example: "Our distances are in miles."
Review the formatted result and the list of transformations applied to your file.
Confirm to import the data into the module.
💡 Each transformation Ecopilot applies is listed step by step. While you work on your file, you can undo a specific transformation without starting over. After the import, you can undo the whole import if needed.
Tips for best resultsKeep your file tabular, with one header row.
Use descriptive column headers, for example "Weight (kg)" rather than a number.
Avoid merged cells and multi-level headers.
If Ecopilot struggles with a column, give a precise instruction with an example. For instance: "Format the dates in the'Delivery' column as DD/MM/YYYY, for example 12/05/2024."
You can click Stop in the chat at any time to cancel an action and give a new instruction.
If the result is far from what you expect, you can always use the standard template instead.
Food purchases: automatic emission factor matching
In the Food module, Ecopilot automatically matches your food purchases to the right emission factors. You can then:
Review the suggested categories directly on the platform.
Correct any categories that are wrong.
Greenly remembers your choices and reapplies them next year, so each reporting cycle becomes faster and more consistent.

Find your suppliers' carbon data
For Scope 3, Ecopilot can look for supplier-specific emission factors in your suppliers' published carbon reports and public data. Using a supplier's own data is more accurate than using an average emission factor based on spend.
To launch a search:
Go to Suppliers.
Select one supplier, or several suppliers.
Click Launch Ecopilot search.
Each supplier then gets one of the following statuses:Validated: a reliable emission factor was found.
Imprecise data: data was found, but its quality is limited.
No data found: no usable public data exists for this supplier.
In progress: the search is still running.
When a validated emission factor is found, you can apply it to that supplier's transactions in one click. Your emissions are then updated.
💡 Results depend on how much your suppliers publish. Large companies with public reporting are much more likely to return a validated factor. Suppliers with no data found are the ones to engage through questionnaires.

2. Check your data quality with Ecopilot
Before you request your GHG report, you review your data on the Data Quality page (Data → Data Quality). Ecopilot helps you with one of the most common issues: double counting.
Investigate potential double counts with Ecopilot
The same purchase or emission can sometimes be recorded twice, for example once as a transaction and once as an activity. In that case, click Investigate with Ecopilot.
Ecopilot then:
Searches the relevant transactions and activities.
Compares their descriptions, categories and amounts.
Shows you the most likely matches.
You review each suggestion and decide whether it is a duplicate. Ecopilot never makes that decision for you.

3. Analyse your results with Ecopilot
Open Ecopilot with the Ask anything button (see Where to find Ecopilot above). Ecopilot securely uses your live Greenly data to answer your questions, so you don't need to export spreadsheets. For example, you can ask:
"What is my carbon footprint by scope?"
"What are my top emission sources?"
"Which reduction actions are planned?"
Get charts from your questions
Ask Ecopilot for a chart, and it builds one from your emissions data. You can download it to use in your own reports and presentations.
💡 Before you share figures or charts externally, double-check the key numbers against your dashboard.
Compare your results with previous years
If you completed past GHG assessments with Greenly, Ecopilot can work with that history. You can ask it to compare your current results with previous years and explain what changed. For example:
"How have my emissions changed compared to last year?"
"What drove our Scope 3 emissions increase this year?"
"Which emission sources grew the most since our last assessment?" You can also ask Ecopilot for a chart of your emissions over several years and download it.
💡 If you need a formal comparative report, your past assessment may first need to be rebaselined. Contact your account manager for this.
4. Use cases: Ecopilot in practice
Importing a messy export from another system
Your logistics team exports shipments from their own tool. The column names are in German, some weights are in grams and others in kilograms, and quantities include text such as "Stk".
Instead of rebuilding the file by hand, you upload it with the Ecopilot Data Formatter. Ecopilot detects the headers, maps each column to the Greenly template, converts the units and cleans the values. You check the list of transformations, undo one that doesn't fit, and confirm the import.
Replacing spend-based estimates for your main suppliers
A large share of your Scope 3 emissions comes from a few large suppliers, currently estimated from your spend.
You select these suppliers and launch an Ecopilot search. For suppliers that publish carbon data, Ecopilot finds a supplier-specific emission factor, and you apply it to their transactions in one click. You then focus your supplier questionnaires on the suppliers marked No data found.
Preparing your results for leadership
Your assessment is almost complete and you need to present it to your leadership team.
On the Data Quality page, you use Investigate with Ecopilot on a transaction that may already be recorded as an activity, and resolve it before finalizing. Once your results are ready, you ask Ecopilot what drove the change in your emissions compared to last year, and ask for a chart by scope. You download the chart for your presentation.
FAQs
Where do Ecopilot's numbers come from? Emission factors and calculations come from Greenly's methodology and emission factor database, not from Ecopilot. Ecopilot helps you prepare your data and understand your results.
