Supplier Engagement From A to Z: Why and How to use the Tool?

Overview

By default, your suppliers' emissions are often calculated using generic emission factors. By engaging your suppliers, you can gather supplier-specific emission factors, leading to a more accurate carbon footprint, better reporting (e.g. CSRD, SBTi), and more targeted supplier action. This is essential for collecting high-quality, granular Scope 3 data.
This guide walks you through the entire Supplier Engagement flow, from uploading your supplier list to tracking their progress.

The best time to start is at the very beginning of your data collection process. If you delay supplier engagement, you'll need to re-upload data to get emission attribution, and you may lose valuable insights on supplier-specific impacts.

Step 1: Upload your supplier list

Go to your progress dashboard then select the relevant task or go to the menu then select Suppliers > Manage Suppliers. You can upload your supplier data in five ways:

  • Bulk import: use our template (available in the module).

  • Automatic extract from your data collections: import your suppliers from data collection modules.

  • AI invoice parsing: upload your invoices for Ecopilot to extract all relevant supplier data

  • Manual entry: add supplier name, email, address, business unit, etc.

  • Duplicate: Duplicate suppliers from last year

🔍 Tip: the more info you include (country, websites, IDs, addresses, emails), the easier it is to match and engage suppliers later.

Step 2: Populate your activity and accounting modules

Once your supplier list is uploaded, make sure your activity and accounting data is linked to the right suppliers. Adding supplier information to your activity and accounting data helps Greenly map emissions to the right suppliers and calculate a more accurate GHG footprint. It also helps identify your highest-impact suppliers, access supplier-specific emission factors, and track reduction efforts at supplier level.
To do so:
1/ Go to your Activity and Accounting modules.
2/ For your Activity modules, add the supplier information in the column “Supplier name” directly in your import file, before importing the data. Use the exact same supplier name as in your supplier list whenever possible.
3/ For your Accounting module, you can match expenses to suppliers directly on the platform.
As with activity modules, we recommend filling in the dedicated Supplier column in your accounting import file with the exact supplier name. This will make the matching process easier once the data is imported.
Once your accounting data has been imported, review the list of transactions and confirm the supplier associated with each expense. For each transaction, select the supplier that matches the expense. You have two options:

  • If the supplier already exists in your supplier list, select it from the available options.

  • If the supplier does not exist yet, create it directly from the transaction.
    4/ Validate the match once the transaction is linked to the correct supplier.
    Once validated, the linked accounting data will be associated with the selected supplier in your Suppliers tab. Together with the supplier names added in your activity import files, this improves supplier tracking, emissions attribution, and the relevance of your supplier engagement campaign.

⚠️ Supplier linked to transactions depends on the quality of your source data. For both activity and accounting data, if the supplier column is missing, incomplete, unclear, misspelled, or different from the name used in your supplier list, supplier attribution may be incomplete and you may need to review or match some transactions manually.

Step 3: Match suppliers with our database

After uploading your supplier list and linking your activity and accounting data, go to the Manage my suppliers tab.
From there, you can:
1/ Review the % of Scope 3 emissions per supplier to identify the suppliers that contribute the most to your footprint and prioritize who to engage first.
2/ Match each supplier with Greenly’s supplier database. For each supplier, you can either:

  • Validate the suggested match if the proposed company is correct.

  • Search for another company in the database if the suggestion is not accurate.

  • If no existing match is available, use Ecopilot search to look for the supplier and create a new one if needed. Ecopilot is Greenly’s AI agent that helps identify and match suppliers automatically using the information you provide.

What to do when a supplier is unmatched If a supplier is marked as Unmatched, it means it has not yet been linked to a company in Greenly’s supplier database. To complete the matching process:

1/ Check the suggested supplier match in the matching column.
If the suggested company is correct, validate the match.
2/ If no relevant match is available, create a new supplier from the matching flow. The Create option appears at the end of the suggested list.
To improve the quality of the match and supplier creation, add as much information as possible. In priority the supplier’s website, then the address, ID and contact details for the supplier engagement part. This information helps Ecopilot find the most accurate match.
If you still cannot find the correct supplier match, you can report it directly in the platform so the Greenly team can review it.
🔍 Tip: if the search does not return the expected result, try editing the search input — for example by using the supplier’s legal name, website, country, or removing extra words — then run a new search.
3/ Once the supplier has been created, review the available information and add any missing details if needed.
4/ Continue managing the supplier from Manage my suppliers tab.
Once your suppliers are created or matched, go to Engage my suppliers tab to prioritize the suppliers that contribute the most to your emissions. This will help you focus your engagement efforts where they can have the greatest impact.

Step 4: Send the supplier survey (NZC only)

💡Before sending the survey, we recommend that your procurement team or a senior leader shares a short and personalized introductory message with your suppliers to improve response rates. This helps explain why you are requesting their data, how their contribution supports your sustainability goals, and why their response is important.
You can use the email template available in this guide and check the questions included in the survey here.
To send the survey:
1/ Go to the Engage my suppliers module then the tab 2. Request data
2/ Select which way you would like to send the survey. There are 2 ways:
a. Send surveys in bulk
Choose how you want to send the survey:

  • From your CRM: this option requires a bit more work on your side, but lets you fully customize the email wording. It often leads to higher response rates, as suppliers receive the request directly from your company rather than from Greenly as a third party. We recommend this option whenever possible.

  • From Greenly: Greenly handles the email sending, reminders, and response rate tracking for you.
    You can send surveys in bulk in two ways:

  • Use the bulk option at the top of the page to send the survey to all suppliers with a contact.

  • Use multi-select bulk to send the survey only to selected suppliers with a contact.
    b. Send survey individually Select the supplier, then click**"Request data". Choose your preferred language**, then click generate & send to send the survey.

Step 5: Track supplier progress

In the Engage my suppliers module, the tab 3. Track results gives you an overview of your suppliers’ responses, emissions data, climate commitments, and engagement progress. You'll find the following tabs:

  • Engagement status: this tab helps you quickly identify who needs a follow-up and monitor the overall progress of your supplier engagement campaign.

  • Emissions: view the status of the information shared by your suppliers, including whether they have completed a GHG report or an LCA. You can also see the list of suppliers and identify the top 20 most emissive suppliers to prioritize your follow-up actions.

  • SBTi & reduction objectives: check which suppliers are SBTi compliant and review the status of their reduction targets. You can use the filters and supplier list to identify where information is missing and prioritize follow-ups.

  • Greenly score: review your suppliers’ Greenly scores and climate maturity levels, including how many suppliers have a score and how they are distributed by rating. This tab helps you identify the best-performing suppliers and spot where climate maturity information is still missing.
