Prepare your organization for a successful ESG reporting project by completing the ESG Onboarding Module. This comprehensive tool helps you map your internal structure, allocate resources, and define your reporting scope before data collection begins.

Understand the Onboarding Module's Purpose

The onboarding document acts as the foundation of your sustainability initiative. By documenting your corporate structure and project governance early, you ensure your reporting perimeter is perfectly aligned with global ESG standards.
Use this module to identify environmental impact sources, distribute internal responsibilities, and recognize operational interdependencies. A carefully filled module creates a detailed portrait of your organization, significantly enhancing your ability to report on ESG metrics accurately.

Navigate the Key Worksheets

The module is structured into several dedicated tabs to guide your preparation phase. You must review and fill out the relevant tables within each tab to ensure comprehensive coverage.

Frameworks and Project Framing

Start by defining the exact regulations you must comply with and assessing the internal readiness of your company.

  • Frameworks Framing: Use this tab to describe the specific requirements of your targeted ESG frameworks, including your organizational scope, reporting periods, and audit deadlines.

  • Project Framing: Complete this internal checklist to assess your project governance. It helps you verify your team organization, resource allocation, and the involvement of critical stakeholders.

Organization Mapping

You must accurately define your business structure to determine the strict boundaries of your ESG report.

  • Mapping: Use this critical tab to list your company's core activities, final products, and services. You must also detail your corporate hierarchy by listing all subsidiaries, business units, and physical facilities.

Warning: You must fully complete the organization mapping tasks before moving forward on complex regulatory projects like the CSRD.

Project Timelines and Follow-Up

Keep your reporting campaign on schedule using the built-in project management templates.

  • Project timeline: Review these roadmap tools to understand the standard phases of an ESG initiative. Greenly provides tailored timeline templates based on specific frameworks, such as the CSRD or EcoVadis.

  • Follow-Up: Use this action tracker to monitor ongoing issues, assign task deadlines, and track weekly progress across your entire project team.

ESG Documentation Library

Prepare the evidence required to support your future data entries and satisfy external auditors.

  • ESG Documentation: Use this tab to catalog all existing corporate documents relevant to your reporting. List the official document names, file types (such as policies, action plans, or certificates), and internal storage links.

Assign Key Project Roles

To guarantee a smooth data collection process, you must distribute responsibilities clearly among your internal team members. Keep in mind that a single stakeholder can hold multiple roles depending on the specific ESG topic.

  • Validator / Decision-maker: Validates the collected data and strategic decisions for their specific departments. They ensure the project outputs align closely with operational objectives.

  • Data Owner / Expert: Conducts the detailed data collection and analysis. They work under the Validator's supervision to meet the project's strict data standards.

Get Started with the Checklist

Once you have familiarized yourself with the module's structure, you must begin treating the required preparation items.

  1. Open the downloaded file and navigate to the Project Framing tab.

  2. Read through the list of questions in the Question column regarding your project goals, governance, and internal contributors.

  3. Click the cells in the Status column to update your progress for each specific item (e.g., changing it to "Done" or "In Progress").
