Data collection is the core step of your ESG initiative. It defines the completeness and compliance of your available ESG data, which serves as the elemental part of your subsequent Gap Analysis.
Accessing the Data Collection Module
To begin inputting your sustainability information, you must access the correct module within the platform.
Navigate to the ESG Data menu located in the main navigation sidebar.
Click on the Data Collection tab.
Note: The data collection module won't be activated until you have fully finished the Double Materiality analysis.
Core Concepts
Understanding the difference between whether a topic applies to your business and whether you currently have the data is critical for accurate reporting.
Applicability: This determines if a topic is relevant or material to your company. Only users with the Project Manager role are allowed to change the applicability of an indicator.
Availability: This occurs when a topic is applicable, but the actual data is currently missing or unmeasured.
Must Submit Data: For these critical indicators, you are not allowed to use the "data is unavailable" option.
Data or Justification: For these indicators, you are allowed not to answer if data is missing, provided you attach a clear justification explaining why.
User Roles and Responsibilities
The platform uses a role-based permission system to ensure the right stakeholders input and verify the correct information.
Project Manager: Oversees the entire ESG reporting process, manages the project framing, and assigns other users.
Owner: Collects, inputs, and updates the actual ESG data.
Validator: Reviews and verifies the accuracy and consistency of the ESG data submitted by the Owners.
Auditor: Conducts independent assessments of the data to ensure reliability and adherence to reporting standards.
The Data Collection Workflow
Every indicator in the module follows a strict lifecycle from initial assignment to final validation.
To be Started: The initial status for an indicator before any action is taken.
In Progress: The assigned Owner is actively working on completing the indicator, but it is not finished yet.
Completed: The indicator was fully completed by the Owner and is now waiting for review by the Validator.
Need Changes: The Validator has reviewed the provided answer and sent it back to the Owner for necessary fixes.
Validated: The Validator has fully reviewed the provided content and confirmed it is completely accurate.
Advanced Features
Your workspace includes powerful tools to track progress and manage complex organizational structures.
Multi-Entity Configuration
Organizations with multiple layers can configure the system to mirror their organizational chart. Indicators can be collected at multiple levels, such as subsidiaries or departments, and are automatically consolidated to produce a single result at the Group Level.
The Gap Analysis Dashboard
The Gap Analysis highlights the difference between the data your company currently holds and the specific disclosures required under your targeted ESG Framework. By pinpointing missing or incomplete indicators, it directs your attention to urgent data gaps and acts as a roadmap to achieve full compliance.
