How do I handle tasks for a Data Owner who is on leave?
If a team member is unavailable, a Project Manager must temporarily reassign their indicators to prevent bottlenecks. You can quickly transfer their workload using the bulk assignment feature.
Navigate to the ESG Data menu in the main left-hand sidebar and select the Data Collection tab.
Click the Owner drop-down filter located in the top filter bar.
Select the absent employee's name from the list to display only their assigned indicators.
Check the box located at the top-left of the table header to select all displayed rows simultaneously.
Click the green Assign button that appears in the floating action bar at the bottom center of the screen.
Select a new temporary team member from the Owner drop-down menu and click the green Validate button to execute the transfer.
Tip: You can also use the Due date calendar field during this bulk reassignment to extend the reporting deadline for the newly assigned temporary Owner.
Maintain Data Integrity and AI
Why did the AI auto-filling system skip my empty indicator?
The AI operates under a strict "passive protocol" to prevent hallucinated data. If it leaves a field blank, it means the system could not find a high-confidence match within your centralized document library.
Verify that the uploaded documents actually contain the specific metric or policy requested by the indicator prompt.
Ensure your documents are fully processed and display a "Ready" status in the Documentation Management tab.
If the information is definitively missing from your documents, a Data Owner must manually research and input the answer into the form.
How do I correct an error on a fully validated indicator?
Once a Validator approves a form, the platform locks the data to secure the audit trail. A Data Owner cannot independently edit a validated response to fix a mistake.
Contact the user assigned as the Validator for that specific indicator.
Instruct the Validator to open the locked form from the main Data Collection table.
The Validator must scroll down and click the Need Changes button located at the bottom of the form.
Once rejected, the form status reverts to "In Progress," unlocking the fields for the Data Owner to make the necessary corrections.
Handle Scope and Consolidation Edge Cases
What if an indicator is only partially applicable to my entity?
The platform does not allow you to split a single regulatory indicator into multiple sub-questions. If any portion of a datapoint is material to your business, it must remain in your active reporting scope.
Open the partially applicable indicator and leave the applicability status as applicable.
Input the data exclusively for the relevant portion of your business operations.
Scroll down to the Comments box located at the bottom of the form.
Type a precise explanation defining your restricted reporting scope, detailing exactly which operations were included and excluded from the final calculation.
How do I consolidate child datapoints that use different measurement units?
The automatic consolidation engine requires uniform data to perform mathematical calculations. If your subsidiaries report the same metric using different units (e.g., gallons versus liters), the system cannot automatically sum the final values.
Before applying the automated answer suggestion, Data Owners at the child-entity level must manually convert their local metrics into the standardized unit requested by the parent framework.
If an error is displayed during consolidation, review the embedded entity table within the parent datapoint form to identify which subsidiary submitted an incompatible unit.
