1. What data should be included in your data collection file?

This module is designed for reporting companies (acting as lessors) that lease assets to other entities. It allows you to calculate and report GHG emissions associated with the operation of those leased assets — specifically emissions not already included in your Scope 1 or Scope 2 reporting.
It applies if you lease out vehicles, machinery, or other assets, including situations where an asset was only leased out for part of the reporting year.
This module does not cover emissions linked to buildings. For leased buildings, refer to the building module.
The temporal scope of the study is the financial year of your GHG Report.
You can find the data collection file by clicking on the module > Tab "Data collection" > "Bulk import - via template".
The data you need to collect depends on the type of leased asset:

Asset type

Mandatory data

Motorized vehicles & industrial machines

Nature of the asset; number of days rented out during the year (expressed as a ratio: days rented / 365)

Other asset types

Nature of the energy consumed (fuel or electricity); estimated energy consumption during the rental period

2. How to complete the template? 1.Select the appropriate category for your asset — identify whether your asset is a motorized vehicle, an industrial machine, or another type of asset.

  1. Click the "+ Add Row" button. 3.Provide the relevant data depending on your asset type:-Motorized vehicle or industrial machine — select the "Type" of your asset (e.g. Average car), then in "Quantity" enter the ratio of days leased over the year (use 1 if the asset was leased for the full year).

    • Other asset types — select the "Type" of energy consumed (electricity, fuel, gas, etc.), then estimate the energy consumption during the rental period. You may need to request fuel or mileage data from your lessees to calculate emissions accurately.

  1. Click "Save".🚨Avoid double-counting- For each asset, provide only one type of energy consumption data— either the volume of fuel in litres (section "Fuel & gas in Volume") or the quantity of energy in kWh (section "Fuel & gas in kWh"). Do not fill in both.

    • Make sure emissions are not reported in both this module and other categories (such as Category 11 for sold products).

3. How to upload your data to the Greenly platform?

To upload your data, click on the corresponding task on the Progress page, or go to Data > Data Collection > Downstream Transportation with products weights.
You have two options:

  1. Single import — enter data manually directly on the platform.

  2. Bulk import— download and fill in the template. The template downloads in your platform language. Fill the English template with English data, and the French template with French data. You can download the other language version from the READ ME tab of the template.


    Make sure all mandatory fields (blue columns) are filled before importing. At least one complete group of blue columns is required.
    Once the file is ready, upload it in the "Upload file" section. You can also attach supporting documents for traceability and auditability in the**"File Information (optional)"** section.
    After uploading, review your data and complete the module. If you don't have the necessary information, click "Skip" at the top right of the page.

4. Frequent errors in data format

Make sure the weights are in metric tons.

5. Review your data and read your results

Once your data is uploaded, you can flag expenses related to the module to avoid double-counting and access your results. See the related article: Review your data and check double counting.
