1. Align with the client’s specific requests

👉 Clients might have specific requests for data processing → they will have an impact on which module format you should opt for.

🎯 Examples of common requests

  • Suppliers or other custom EFs (outside of Greenly’s database):

  • The client must have paid for their integration, and the EFs should have been validated by the R& M team

  • These EFs must be added to the EF Manager as company-specific EFs before you can retrieve their IDs

3. Data Processing

The goal of an activity-based study is to categorize a client’s data, meaning associating each activity of a specific category to the most suited emission factor.
⚠️ if you are working on a multi-year account, don’t forget to check the Rebaselining section.

💡 When you do an analysis for a company, you should first check if a similar analysis has been done for the previous years, and check with the deal owner/client if a rebaselining of the data has been planned.

Building emissions estimation

  • If the client has emissions for each of its real estate investment (REI) then use them as results of GHG assessment column in the 1. Data to be uploaded

  • If the client hasn’t emissions for each of its REI (most probable case), we’ll need to estimate REI emissions based on the building’s energy consumptions, surface or location. For this, you need to follow the following process:

  • Create a new company via the Company creator on Admeenly called “Client’s name [BUILDING]” with the same year and a GHG product - do not link it to a Hubspot deal -

  • Connect to the new profile and upload the data collection template filled by the client into the Building module.

  • you need to upload the building names then the 3 consumptions (elec, heating, AC) - follow the Building module process (v. July 2025)

  • From Admeenly, export the Building modules emissions (Export data → Export all emissions). Now you have total emissions for each REI, you’ll be able to use these data into the Portfolio analyzer.

Set up the file

  1. Open the client's completed data collection template file and verify it contains all required information

  2. Create a copy of the Portfolio Analyzer file, save it in the client folder - DON’T EDIT THE MAIN FILE - Portfolio Analyzer

A. Data collection template tab

  1. In the Data collection template tab, select the option of investment type in cell D10 - this helps adjust the column headers in row 14 to best fit the investments

  2. Write the year of the GHG assessment and the language

  3. Copy and paste as values the data collection template into the Portfolio Analyzer (PA)'1. Data collection template' tab

  4. Use the buildings emissions (shared by the client or retrieved from the other account) to fill the GHG assessment result - BE CAREFUL TO MATCH THE UNIT OF THE EMISSIONS

B. Portfolio accounting tab

  1. The main calculations are performed in the'2. Portfolio accounting' tab - do the following quality checks:

  2. Check if the attribution factor is indeed < 1

  3. Review the checkpoints in the tab to confirm emission factors, names, and financed/absolute emissions are correct

  4. Check for any formula breaks and right flow of data

  5. Check the currency conversion using column AB and drag down the formula if needed to populate more rows

  6. Check the date ratio format

  7. Most common errors

  8. Error in unit (tons or kg)

  9. in case of reinvestments - use two PAs to get the building level emissions and not investment specific

  10. for building kind that’s individual house will be mapped to mortgage

Cbis. Data to be uploaded (for REI only)

  • To avoid creating to much custom EF, R& M team has created a process to create company EF for REI (if any doubt, ask ). Please follow this process to create EFs ID.

  • Go back to the Portfolio analyzer, fill the 3bis tab with

  • Name: name of the building

  • Quantity: Financed emissions / Outstanding amount = ex:'2. Portfolio accounting'! AJ14*1000)/'2. Portfolio accounting'! G14

  • Unit: KGCO2E

  • *Emission Factor ID: copy paste the EF ID created by R& M team in the “Result - Asset name and EF ID” tab

  • Fill as many columns as possible

  • Then export the'**3bis. Data to be uploaded (for REI only) **' tab as a CSV file and upload it through Admeenly into the module to display the emissions by clicking on the green button:Import activities from a file. Add all the unmapped columns filled with “Add new - Analysis tag” and delete the empty columns.
