Business travel: Why & How to fill it?

Overview

The analysis of these data will allow us to evaluate the carbon footprint of each trip *(flights, train, car rides or hotel nights) *and to identify the main action levers on this emission item.

1. What is the Business travel for?

The Business Travel module helps companies measure the greenhouse gas emissions generated by employee work-related travel. It covers activities such as flights, train journeys, car travel for business purposes, and hotel stays, while excluding daily employee commuting. The module allows users to collect travel data over the assessment period and calculate emissions using different types of inputs, such as distance travelled, fuel consumption, number of hotel nights, or travel-related expenses.⁠

2. Which data should be included in your data collection file?

⚠️ To be processed by Greenly, the data provided must be in French 🇫🇷 or English 🇬🇧
🎯 The data collection file contains two type of data: mandatory and optional data

Mandatory data:-Flights, trains and cars You only need to complete at least one full group of columns highlighted in blue.

Each blue group represents a different way of providing the required data. For example, depending on the type of calculation, a group may include information such as:

  • Itinerary

  • Distance

  • Cost

  • Fuel or electricity consumption for cars
    While it is not mandatory to complete all columns, we recommend providing as much information as possible. The more data you provide, the more detailed and granular your results will be.

  • Hotels
    No mandatory data, but at least a few columns need to be filled to get some precision

Optional data:

  • Flights & Trains

  • Round-trip or not

  • Direct of not

  • Travel class / Type of train

  • Trip reason

  • Number of passengers…

  • Cars

  • Type of car

  • Round-trip or not

  • Vehicle source…

  • Hotels

  • Country and city of the accommodation

  • Number of nights

  • Cost of the stay

  • Number of people…

3. How to upload your data to the Greenly platform?

To upload your data, click on the corresponding task on the Progress page or go to Data > Data Collection > Business Travel.
1/ You have two options to upload your data:

  • Manually, on the platform by clicking on "Single import"

  • Using the template by clicking on "Bulk import". The template is downloaded in the same language as the platform. When using it, we ask you to fill the English one with English data and the French one with French data. You can always download the other language on the READ ME page of the template.

    ⚠️ Employee commutes by cars
    To ensure correct data entry, follow this rule:

  • Commutes using company-owned cars should be recorded in the Business Travel.

  • Commutes home to office using personal cars should be recorded in the Employee Survey.
    There are also additional data that would help us provide even more accurate results and we highly recommend including them.

  1. Travel agencies data
    Most travel agencies can provide you with an annual export of your trips. If you use this type of service, contact your travel agency to obtain this information.
    Those exports are very useful, as they provide most of the time very detailed information that we can treat to guarantee maximum accuracy and granularity on your data analysis.

    Import your data in the section “Upload file”. You can also provide additional files to prove or support the data you’re submitting—for traceability and auditability, in the section “File Information (optional)”

  2. Once your data uploaded, review it and then complete the module.
    If you do not have the necessary information to complete this module, you can click on "Skip” at the top right of the page.

Once you have uploaded your data, you can flag the expenses related to the module to avoid double counting and access your results. To do so, please read the related article.

FAQs

What are the frequent errors when uploading the data?

Dates not being in the right format
If a city or address is not recognized, or doesn’t appear to exist, please check that the location is available on Google Maps.
Our system uses Google Maps to identify and process locations, so the city or address you enter must be recognized by Google Maps. If needed, try checking the spelling or searching for the location directly on Google Maps before entering it again.
