Assigning the right stakeholders to your ESG indicators ensures accurate data collection and establishes a clear chain of accountability. Use the data collection dashboard to delegate tasks individually or in bulk to keep your reporting campaign on track.

Understand the Assignment Workflow

The data collection process relies on a clear delegation of responsibilities. As the Project Manager, your primary task is to review the applicable reporting scope and assign the appropriate team members to complete the work.
Every applicable indicator requires a designated Owner to source and input the raw data. While the platform allows an indicator to be processed with only an Owner, this bypasses the internal review step entirely.

Tip: We highly recommend assigning a Validator to every single indicator. Utilizing the Validator role ensures strict data quality, provides a reliable internal audit trail, and significantly reduces errors before your final ESG report is generated.

Assign Users Individually from the Dashboard

You can quickly assign users directly from the main list of indicators without opening each individual form.

  1. Navigate to the ESG menu in the main left-hand sidebar and select the Data collection tab.

  2. Locate the specific indicator you want to delegate within the main table.

  3. Scroll to the right side of the table to find the Owners and Validators columns.

  4. Click the hyperlinked Assign text located in the respective column for your target indicator.

  5. A modal window titled "Modifying 1 question" will appear in the center of your screen.

  6. Click the Owner and Validator drop-down menus to select the appropriate team members.

  7. Click the green Validate button at the bottom of the modal to save your changes.

Bulk Assign Users to Multiple Indicators

If multiple indicators belong to the same team member or department, you can assign them all at once to save time.

  1. From the main Data collection table, locate the checkboxes positioned on the far left side of every indicator row.

  2. Check the box next to every indicator you wish to assign to a specific user.

  3. Look at the bottom center of your screen for a newly appeared floating action bar.

  4. Click the green Assign button located within this floating bar.

  5. A modal window titled "Modifying X questions" will appear, displaying drop-down menus for assignments.

  6. Select your target users from the Owner and Validator drop-down menus.

  7. Click the green Validate button to apply these assignments to all selected indicators.

    Warning: Performing a bulk assignment will permanently overwrite and erase any existing assignees or due dates for the selected indicators.

Utilize Advanced Assignment Options

When modifying an assignment, either individually or in bulk, the modal window provides two additional fields to help manage complex workflows.

  • Contributors: Click this drop-down to assign secondary team members who can assist the Owner with data gathering but cannot officially submit the form.

  • Due date: Click the calendar icon to set a strict deadline for the task. This helps Owners prioritize their workload and ensures the project stays on schedule.

Verify Your Assignment Coverage

To ensure the data collection campaign can fully begin without delays, you must verify that no indicators have been overlooked.

  1. Navigate to the top of the Data collection table where the search and filter options are located.

  2. Click the Assignees drop-down filter located on the left side of the filter bar.

  3. Search for and select the Without owner or unassigned option to view any neglected tasks.

  4. Review the filtered table and assign an Owner to any remaining indicators using the individual or bulk methods outlined above.

  5. Repeat this exact filtering process to ensure all your indicators have a designated quality reviewer assigned.
